1. Who this covers

This policy explains how TenantBot handles personal data for two groups: business users (people who create a TenantBot account) and website visitors (people who chat with a TenantBot assistant on a business's website).

2. Data we collect

• Business users: email address, password (stored hashed by our authentication provider), workspace settings, and the documents you upload.
• Website visitors: chat messages, the page the chat happened on, a random visitor identifier stored in the browser, and — only if the visitor chooses to submit them — name, email address and phone number for follow-up.

3. How data is used

• Chat messages are processed by an AI provider (OpenAI) to generate responses.
• Uploaded documents are processed to build the search index the assistant answers from.
• Conversations and leads are shown to the business that operates the chatbot.
• Basic usage counts (number of messages, leads) are recorded for service operation.

We do not sell personal data, and we do not use your documents to train AI models.

4. Service providers

Data is processed and stored by the following providers:

• Supabase — database, file storage and authentication
• Vercel — application hosting
• OpenAI — AI response and search-index generation

5. Cookies and local storage

The dashboard uses cookies strictly for keeping you signed in. The chat widget stores a random identifier in the visitor's browser so a conversation can continue across messages. No advertising or cross-site tracking cookies are used.

6. Data retention and deletion

Data is retained while the associated workspace exists. Businesses can delete individual documents and leads from their dashboard at any time; deleting a workspace removes its documents, conversations and leads. Website visitors who want their chat data removed should contact the business whose website they used, or contact us directly.

7. Your rights

Depending on your location, you may have rights to access, correct, export or delete your personal data. To exercise them, contact us at the address below and we will respond within a reasonable time.

8. Changes

We may update this policy from time to time. Material changes will be announced via the Service or by email.
